What we do with what you send us.

ETC Members

When you join ETC Members we store your first name and email address, whether the address was confirmed, the interests you pick, your email preferences, the events you save and the registrations you make for events ETC runs the list for. Sign-in works with a single-use link sent to your email; we keep no password. We record when a link was requested, from a hashed network address, to limit abuse.

This data lives in a database hosted for ETC on Neon (Postgres) through Vercel. Sign-in links and registration confirmations are sent through Resend. We count product signals such as sign-up starts, confirmed memberships, saved events and clicks on external registration links; these counts carry no name or address. Clicking through to an external registration page never marks you as registered here.

Optional email updates are off until you turn them on, and you can change them or leave at any time from Account. Requesting deletion signs you out everywhere and the board removes your record within 30 days. The board can export the verified member list with its preferences to run the community; that export is not shared outside ETC.

Form availability

Membership and partner enquiry forms are currently paused. Committee applications are accepted only during an enabled recruitment round; see the application page for the current status. The information below describes how submissions and correspondence are handled.

What we collect

Applications: your name, email address, phone number, study programme and year, first and second committee choices, weekly availability, CV and motivation letter, plus an optional portfolio link and additional information. These are collected only when the application form opens.

Partner enquiries: your organisation, your name, your role, your email address, what you are interested in, and anything you write in the message field.

Where it goes

When forms open, submissions and application documents are emailed to the ETC board through Resend. Uploaded documents are sent as email attachments, not published on this site. Resend processes the message and attachments for email delivery; the recruitment inbox holds the application. We do not store them in a website database, and this site sets no analytics or advertising cookies.

While you complete the application, answers and selected documents stay in the open page so you can move between steps and retry a failed submission. They are not saved in browser storage; closing or reloading the page loses this draft. We record delivery references, times and error categories to investigate sending problems, without logging your answers or documents. A confirmation on screen means the email provider accepted the message for sending; we monitor delivery separately.

Website visits

We use Vercel Web Analytics on erasmustech.io to understand which pages are useful and which websites send visitors here. It records page views, referring websites, approximate location, and browser and device information without analytics cookies. We remove query strings and page fragments from the page addresses sent to analytics. We do not send form contents or contact details.

Vercel’s dashboard keeps one month of reporting on our current plan. ETC keeps aggregate weekly reports for up to 90 days. These counts help us improve the site; they are not a record of who joined. Analytics is disabled on preview sites and for browsers sending Do Not Track or Global Privacy Control.

How long we keep correspondence

Applications are deleted within six months of the recruitment round closing. Partner correspondence is kept for as long as the conversation is active, and deleted at the end of the board year if it goes nowhere.

Your rights

Under the AVG you can ask what we hold about you, ask for it to be corrected, or ask us to delete it. Email the board and we will do it; there is not much to search through.
